At its best, it is a strategic tool that shapes culture, behavior and identification with an organization.<\/p>\n<p>We see space as a physical expression of a company&#8217;s identity. Values such as transparency, agility or collaboration can be translated into spatial experiences through layouts, materials, visibility and the way people interact within a workplace. The key is consistency: if the physical environment contradicts the lived culture, trust and identification quickly weaken.<\/p>\n<p>The most successful workplaces go beyond functionality. They provide settings that encourage relationships, support different work styles and create opportunities for informal interaction.<\/p>\n<p>People develop a sense of belonging when they recognize themselves in their environment. Identity cannot simply be communicated through branding. It has to be reinforced through everyday experiences. A workplace should also be able to tell the story of an organization, its people and its evolution. In that sense, space becomes part of a company&#8217;s collective memory.<\/p>\n<p><strong>WB: What changes when employees participate in shaping their workplace?<\/strong><\/p>\n<p>Participation fundamentally changes the role of the workplace. Instead of being a solution delivered to employees, it becomes a social system that is developed together with them.<\/p>\n<p>When people are involved in the process, they no longer see the workplace as something fixed and imposed. This creates a stronger sense of ownership, accountability and identification. It also increases acceptance of change because people understand the reasoning behind new concepts and have contributed to them.<\/p>\n<p>Participation also reveals how work actually happens. Workshops and interviews often uncover behaviors and communication patterns that formal structures fail to capture. As a result, workplace design becomes more realistic and better aligned with how people truly work.<\/p>\n<p>For designers, this changes the role from planner to facilitator. Workplace design is not only about creating spaces, but also about helping organizations prepare for future change.<\/p>\n<p>One important challenge: participation outcomes often remain too closely tied to current needs and past problems. Good facilitation means keeping an eye on what comes next and deliberately bringing future change into the conversation.<\/p>\n<p>The future workplace should be a destination people want to visit, not somewhere they are required to go.<\/p>\n<p>The office must provide experiences employees cannot easily replicate elsewhere: meaningful interaction and a strong sense of connection to the organization. It needs to offer social and emotional value, not just functional value.<\/p>\n<p>This means creating a diverse range of settings that support different activities and preferences. Standardized solutions are no longer sufficient. Flexibility, both spatially and technologically, is becoming increasingly important as organizations adapt to changing business needs, new technologies and evolving work patterns.<\/p>\n<p>As AI-driven ways of working emerge, we may even see the return of the private office. Will the future workplace need a room for me and my AI agent? It illustrates how quickly our assumptions about work settings can change.<\/p>\n<p>Technology should support the experience without becoming the experience. In hybrid environments, it should work seamlessly in the background, with no meaningful difference between being present in person or working remotely.<\/p>\n<p><strong>WB: What do organizations often overlook when thinking about workplace culture, wellbeing and performance?<\/strong><\/p>\n<p>When organizations think about culture, wellbeing and performance, they often focus on individual design features such as furniture, finishes or plants. What&#8217;s often missing is a holistic view of the workplace as an integrated system, where less obvious factors can have the greatest influence on daily experience.<\/p>\n<p>Acoustics, lighting, wayfinding and spatial organization have a profound impact on how people feel and perform. Poor acoustics increase stress. Inadequate lighting affects concentration and wellbeing. Confusing layouts create friction and reduce spontaneous interaction. These factors influence daily experience more than many organizations realize.<\/p>\n<p>Another overlooked issue is the relationship between space and culture. Employees often judge an organization&#8217;s values based on what they experience rather than what they are told. If a company claims to value openness but provides no places for collaboration, or claims to support flexibility while reserving the best spaces for senior leaders, the environment sends a contradictory message.<\/p>\n<p><strong>WB: What makes a workplace successful in the long term?<\/strong><\/p>\n<p>Even the best workplace concepts only work if people are willing to use them. Acceptance is critical, and leaders need to set an example.<\/p>\n<p>This is particularly true for activity-based environments. They require both freedom of choice and a shared understanding of how the space should be used. Without that, even well-designed environments may fail to deliver their intended benefits.<\/p>\n<p>Most importantly, a workplace should never be treated as a finished product. Good workplaces are not one-time projects but ongoing processes. Organizations need to keep asking whether spaces are being used as intended.
